Abbeydale Park Table Tennis Club (APTTC) Data Protection Policy

This is the Data Protection Policy for members of the APTTC applicable from 25th May 2018.

What is GDPR?

The General Data Protection Regulation (GDPR) regulates how your personal data is collected, processed and stored. GDPR gives you certain rights and gives you more control over how your personal data is used.

How is consent given under the GDPR?

We will only collect, process and store your personal data if you have given consent. Parental consent must be given for children under the age of 16. Consent is given on the APTTC Membership Form.

What personal data will we collect?

Personal data is any data which can be used to identify you.

We will collect the following personal data:

· Full name and home address

· Date of birth and gender

· Contact details including email address, home and mobile telephone numbers

· Emergency contact details

· Any relevant medical information (optional)

· Table Tennis England Membership Number (if applicable)

How will we process data under the GDPR? The right to be informed.

Your personal data will not be given to a third party. Your personal data will be used to maintain membership records or in a medical emergency and your contact details, usually your email address, will be used to inform you of relevant table tennis news. You may withdraw your consent to receive emails whenever you want by contacting APTTC. We will retain your personal data until you are no longer a member of APTTC.

If you play in either the adult or junior league we share information with the Sheffield Table League and Table Tennis England. We will send you emails that relate to the operation of APTTC.

How do I view and amend my personal information held by APTTC? The rights of access and rectification.

You can view your personal information held on the APTTC database by contacting APTTC. You can request that inaccurate or misleading data stored about you is corrected, or missing details are added.

How do I request the deletion of my personal information? The rights to be forgotten and to object.

You have the right to have your personal data deleted if it's no longer necessary to hold your personal data in the APTTC membership records. You can also demand that your data is erased if you've withdrawn your consent for your data to be collected, or object to the way it is being processed.

When you become a member of or renew your membership with Abbeydale Park Table Tennis Club you will automatically be registered as a member of Abbeydale Sports Club Ltd (ASCL) Abbeydale Park Table Tennis Club will provide ASCL with the following information

•             Name

•             Address

•             Date of Birth

•             Gender

•             Email address

All adult members of ASCL will hold one share in the company.  We will provide Abbeydale Sports Club Ltd. with your personal data as listed above on the basis of legitimate interest. The legitimate interest is the necessary management and administration of the club for the benefit of its members. Abbeydale Sports Club Ltd. will use the data to maintain a register of members and to send adult members shareholder information and inform all members of activities and events at Abbeydale Sports Club.

The information on your application form will be held on a computer in accordance with GDPR. The data we collect is in fulfilment of our contract with you which is your “membership” and your data will be solely used for the purpose of processing and maintaining your membership with APTTC, ASC Ltd, Sheffield Table Tennis League and Table Tennis England.

The data will not be shared with any other third party for marketing or commercial purposes and the emails we send you will be in relation to the operations and promotions of the club.
